Kanban board for managing your tasks

Workflow is where tasks live and it is made up of Columns. There are three types of columns;

  1. To-Do,
  2. In Progress,
  3. Done.

Each of the three original columns and all columns created after can be defined by one of these three statuses. This means that when you place tasks in any of these columns it will define the status of the tasks. Please always make sure that you have set the correct status for every column that you have created as having the wrong designation on a column can affect the way the task appears. (i.e a Backlog column should be designated as a To Do column not as a Done column).

 

In order to create a new column please click on the New Column button on the top left hand corner of the work flow.

If you wish to add column names, you can always edit them by clicking directly on the name of the column.

Tasks live in columns, and move from column to column as tasks progress. The progress of a Task is indicated by a progress bar at the bottom of each task, giving you a visual overview of the progression of work on a given Task, which is fed by the registered time. This way everybody on the team can get an instant glimpse of how the project is evolving and what is next in terms of priority.

Move columns and tasks

Moving columns and Tasks is super simple; just hover your cursor over the task you wish to move click, drag and drop. The same applies if you would like to move columns. Just hover your cursor next to the columns name and simply click and drag  to move any column to your preferred location just like tasks.

Dependencies

Tasks that have dependencies or prerequisites cannot be moved to a column with the designated status of In Progress or Done unless the dependency or prerequisite is first met. Moving a task with a dependency or prerequisite  will result in the system prompting a warning message.

Tasks carry a lot of information, such as: Attachments, Comments, Task ID, etc. This information while helpful at a glance, may be a bit overwhelming as you add on more and more tasks. In the Workflow page you have the option to determine how much of this information you want to see. Just hover your cursor over the details icon (Eye Icon) on the top right hand corner, click and select which options you want to hide from tasks. You can always hide these options again later on.

Adding Tasks

Tasks can be added directly on the workflow for both single or connected projects. This option allows for team members to add on tasks much faster on a project, without having to add all of the details.

Time Registration Button

Workflow also allows you and your team members to register time on each task from the workflow page by simply clicking on the Time Registration Button as showcased below:

Encourage Time Registration  

In addition, Workflow allows you to enable the option to Encourage Time Registration if you would like the system to remind you and your team members to register time on any tasks when they move the tasks from each column. In order to do this click on the vertical ellipsis button as represented below :

After you enable the Encourage Time Registration, each time you or your team members move on task from one column to the next you will be prompted to register time. This will look like this:

Tip: You can enable this function from any desired Column.


Finally, you have the ability to delete any extra columns that you have created in the workflow but you may not delete the original three columns. You can find the delete option in the vertical ellipsis button, same as the Enable Time Registration option.
