Dependencies, Subtasks & Task Owners-Followers

Connect your tasks by setting dependencies, add subtasks and task owners or followers.

Task Dependencies

What exactly are dependencies?

Dependencies are the relationship between tasks, and determine the order of which activities needed to be performed. There are two types of dependency relationships in Forecast:

1. Finish to Start:

A Predecessor Task must be Finished before a Successor Task can be Started.

2. Finish to Finish:

A Predecessor Task must be Finished before a Successor Task can be Finished.

 

Setting Dependencies

There are two way of setting up dependencies; one way is from Schedule Section and the other is directly from a Task. Below we focus on setting them directly from a task.

Step 1: Add the Dependencies section in the task by clicking on the Hamburger Menu. This will prompt the Dependencies field below the description area of the task.

Step 2: Scroll down to the newly added Dependency section in your task and determine the relationship between the current task and any other task. To achieve this follow the steps below.

  1. Select a predecessor Task (which will always be set to Finish)
  2. Set the current task to either Start or to Finish, then click Add
  3. Set the Successor Task to either Start or Finish
  4. Select the Successor Task and then click Add

Once completed your task will display the decencies as follow:

Editing or Deleting Dependencies

If you need to edit or remove a set dependency from within a task, just hover your cursor over the desired dependency and click on the three dot icon to prompt the dependency menu.

Filter by Dependency

From the Workflow view of a project, click on the filter icon located on the top right hand side of the Workflow section, and choose to filter by indicator. From the drop down menu options, select Dependencies. You'll then see all of the tasks in your workflow that have a dependency.

Another important indicator is the critical indicator. If your dependencies are not correct, a critical indicator will popup with an accompanying explanation.

Dependencies can be filtered in My Work view, and you can also get a visual representation of Dependencies from the Schedule view.

If you have a GitLab, Jira or VSTS integration, dependencies are not enabled due to the assimilation with the other platforms.

Subtasks

Subtasks are actions/work that must be completed in order to finish a larger or more complex task. Subtasks are a convenient way to organize large tasks that require multiple steps. Below you'll uncover the steps on how to add subtasks in a main task modal.

Step 1: Add the Dependencies section in the task by clicking on the Hamburger Menu. This will prompt the Dependencies field below the description area of the task.

Step 2: Set the name of the Subtask, along with an estimate and then click on the plus button.

Task Owner, Task Follower & Task Assignee

Tasks can have many participants, in this case assignees and owners.

Assignee: Task assignee is the person responsible for doing the work, a task can have multiple assignees. Below are the steps on how to assign an assignee:

Step 1: Click on the Assignee dropdown menu on the far right hand side of the task modal, right next to the name of the Task, and select the desired team member(s).

Owner: Task owners is the person responsible for overseeing the task through to completion. Sometimes these task owners can be the manager of the project and they assign tasks to assignees (designers, developers, etc.) to execute the work. Below are the steps on how to assign a task owner:

Step 1: Click on the green plus button at the very bottom of the task modal, right under the comment section, and select the desired team member that is to be the owner of the task.

To enable this feature, please go into project settings and enable Task Owner.

 

Follower: Task followers are those who can potentially collaborate on a task, but mainly would just like to keep up to date on any updates to said task. Followers receive notifications on task updates and comments. Below are the steps on how to assign a task owner:

Step 1: Click on the green plus button at the very bottom of the task modal, right under the comment section, and select the desired team member(s) that is to be the follower of the task.

To enable this feature, please go into project settings and enable Task Follower.
