Step-by-step Guide: Project View

We believe that an all-encompassing overview is essential in order to schedule your team and tasks efficiently and effortlessly. Meaning that your day-to-day work experience is significantly improved.

To accomplish this, we’ve implemented the new scaled overview.

From this new all-encompassing overview, you can now see all of your projects, their milestones, tasks and team members working on each project. At the top left of the Scheduling view, you can select the view that best fits your work process; either Project or People view

Projects are now organized in ascending order, according to the start date of a project, so you’ll always know which project is coming up next. From the Projects view, you can click on a project to expand and view its milestones, tasks and teams and then manage your resources for each project accordingly from this view.

Project View

Step 1: Click on the drop down arrow button to Expand all, and get an instant snapshot of all that your project encompasses.

Step 2: You can also slip and slide across your timeline to view past and future tasks or projects . If you want to quickly return to the present just click on the Today button.

Step 3: Has your deadline changed on a project? No problem, just drag the whole project along the timeline. Don’t worry about the milestones they will follow along with it.

  1. As you advance on your Milestones, the progress bar associated to it will fill up the project with an associated percentage score. A task within a milestone turns green when it is completed, giving a sense of accomplishment. This new look helps to distinguish when a tasks is completed or requires a second look.

Step 4: Click on the drop down arrow icon to expand a project and see which team members are assigned to that project. On each block, you'll see the total time assigned to the allocation as well as the daily distribution of hours the team member has. This gives you an accurate representation of your team members daily allotment on a given project.

Step 5: Allocate hours to a team members on a project by dragging your cursor along the timeline slot you wish them to work on it.

  1. Once you’ve selected the desired timeframe, a popup window will appear, that prompts to specify the allocation.
  2. In this new window, you select the preferred dates, which will be highlighted once selected.
  3. Determine the total hours of allocation
  4. Or set distribution of hours in either percentage format or a day format by clicking Distribution button.
  5. You can also Add a note and
  6. Then click “Allocate”

Step 6: Hover your mouse over a project to get a quick glimpse of your capacity; the number of working hours allocated to it, as well as which roles are needed to bring the project to completion. By clicking on the modal you can see a breakdown by role of; Remaining capacity, Remaining Tasks and Capacity Difference.

From this new Scheduling view, you'll be able to see both Running and Planning projects. Projects in the Running stage are identified in bold colors. Projects in the Planning stage state “Planning” and have a translucent color and are outlined in the timeline and in the project list.

Step 7: Hover your cursor over a Project to prompt a 3-dotted menu icon- click to: View, Duplicate and/or Delete a project

  1. Hover your cursor over the connected project’s icon, and get a quick glimpse of which projects are connected. Expand the project by clicking anywhere over the projects name
  2. By moving the cursor over to the three dots menu, click to view the connected projects, (this will take you out of scheduling view)

Step 9: Create a new project without having to leave the scheduling view.

  1. Just click on the Green Button labeled ‘New Project’ located on the left hand side bar, just under the People and Projects tab.
  2. As soon as you do, a new modal will popup:
  3. First select the client
  4. If you haven’t added the client prior to this, don’t worry
  5. You can click on the Green Plus icon to add the new client within this modal.
  6. Once you’ve selected the new client we can move on to…
  7. Entering the Name of the Project
  8. Then select the Start and End Date.
  9. If you’d like, duplicate an existing project; it will save you some time.
  10. Check the next box if you work in Sprints.
  11. Remember to add labels, this will not only help you find a project, but it will also feed the AI for future suggestions.
  12. Select how you would like to allocate your team members either with Task Allocation or Project Allocations (which you can determine when creating a new project or in your project settings).
  13. Next let’s select the Budget type:
  14. Fixed
  15. Time & Materials
  16. Non-Billable
  17. And then add the numerical value in the Price Field.
  18. Then click Save & Continue; (Remember that this newly added project will appear in order to its start date)

Additional Features

  1. We can also Zoom in, to get a more granular view, or zoom out and get a complete overview of our pipeline and anticipate potential bottlenecks, from the People view. From the Project View easily change the timeline view between day, week, month, or year to get the desired perspective of your scheduled projects at a holistic or granular level.
  2. Just like in the projects view, by clicking on the expand all arrow and then scrolling down you can see all your team members, their project and task allocations- we can see the projects and tasks assigned to a given person.
  3. We can also Filter by;
  4. Project
  5. Project Stage
  6. Project Status
  7. Team member
  8. Label
  9. Client and
  10. Role

On the People View the filter makes it easier to allocate an assigned task, filter by role to get clearer overview and avoid dropping the task on to the undesired role. Or on the People View this makes it easier to filter by team member or client and then focus on those.
